Association Administrator

The Association Management Practice of Interel EU, is looking to recruit is looking to recruit an Association Administrator to start as soon as possible.

Applicants for the position should fulfil the following minimum requirements:
 Bachelor office assistant or equivalent
 Minimum 1-2 years’ experience in an administrative office setting, preferably in an association, association management company or event environment;
 Excellent command of spoken and written English, working knowledge of French or Dutch
 Strong computer skills: Microsoft Office – and other event/registration databases;
 Basic bookkeeping skills with minimum understanding of VAT preferable;
 Very good written and oral communication skills;
 Very well organized, detail-oriented, precise and reliable;
 Ability to work under pressure and to tight timelines;
 Ability to multitask and prioritize;
 Capacity to work independently as well as in teams;

Able to demonstrate interest for the following:
 Events administration
 IT applications, tools and processes for social media management, website management,
 desktop publishing, graphic design
 Willingness and ability to travel internationally as required.

The Association Administrator will work closely with the Association Manager to support our associations clients’ day-to-day operations, communication and digital outreach activities, and events.

Responsibilities will include but are not limited to:
 General administration (letters, emails, copying, postings, coordination of shipments etc.);
 Layout and configuration of documents (Word, PowerPoint, Excel);
 Record keeping, filing and archiving;
 Travel arrangement logistics
 Assists with mailings, newsletters and communication campaigns
 Coordination of physical and virtual meetings (schedules, invitations, keeping track of responses and requested requirements);
 Assist with basic bookkeeping as appropriate
 Process membership applications, assist with member administration, renewals and requests
 Update members directories and other association databases
 Manage internal calendars, deadlines and milestones
 Assist with special projects from the development, administration, and promotion of specific activities.
 Administer contracts with external providers and suppliers

Event Support
 Support all administrative aspects of association events and meetings including registrations process, certificates, badges & evaluations,
 Support onsite event teams in setup, registrations, speaker- and delegate support

Communication Support
 Ensure website maintenance and publish updates as requested by staff and membership
 Monitor online forums and discussion boards and manage according to policy
 Support the production of newsletters, reports
 Support the implementation of marketing and communication activities
